Checking in at the door Pro

One tap and a child is checked in or out, on a phone or on the tablet at the entrance, which is securely paired and needs no password. The same data produces the emergency list for fire safety.

    Parents report absences Basic

Ill, on holiday or something else: parents report their child absent in three steps, with no phone call in the morning. The group sees it at check in, and the forecast leaves the child out.

  3. Original screenshot from Hello Kita with test data: duty roster with a week strip and the groups Sun, Moon and Stars.

    The duty roster

Who is in when is set out in the weekly plan for each group. A live view for the staff room shows the day, and the reports take over the plan without retyping.

  4. Original screenshot from Hello Kita with test data: digital sick note for staff.

    Staff sick notes Pro

If someone cannot come in, they report it in the app. Management gets the message straight away, and the roster shows the gap before the first group opens.

03Roster

Does the roster match the numbers?

Children present, operationally recommended staffing and your duty roster share a single chart. Where the lines drift apart, Hello Kita flags possible understaffing or overstaffing.

Duty roster
Shifts with breaks and weekly hours, the Working Hours Act in view, templates for early, core and late shifts. According to the provider, the rules of many NRW provider organisations are already built in.
Federal state
Staffing requirements differ from one German state to the next. Your Kita sets NRW once, and the staffing reports follow it.
Staff sick notes
Staff report sick directly in Hello Kita. Management hears about it at once, confidentially and without a diagnosis, and the roster marks the absence automatically. (Pro)

Hello Kita does not record which staff are actually present. The staff lines show the roster and the recommended staffing.

07Questions

Questions from the management meeting

What exactly does the daily curve show?

It shows how many children are in your Kita at the same time over the course of the day. Hello Kita builds it automatically from children being checked in and out, for the whole centre or for single groups. A weekly comparison and a heatmap come with it, as do reports per child and per group. The reports are part of the Pro plan.

Where does the forecast get its numbers?

From booked hours, past attendance and absences that are already known. From these Hello Kita works out the next three care days. Excused children are not counted, public holidays and closing days are taken into account, and every forecast is clearly labelled as such. It does not replace your judgement; it simply gives it a basis earlier.

Do parents and staff need an app from an app store?

No. Hello Kita is a web app for the browser, smartphones and tablets. One tap puts it on the home screen, where it opens like any familiar app. Parents and staff are invited by link, QR code or parents’ letter and choose their own password. There is no app store listing, and none is needed.

Does Hello Kita follow the staffing rules in NRW?

Staffing requirements differ between German states, so a centre sets its state once and Hello Kita bases the staffing reports on it. For the duty roster, the provider says the rules of many NRW provider organisations are built in. If no verified legal basis is stored for a period, the app says so openly, and the operational figures still work.

What does Hello Kita cost for a Kita in Stolberg?

Basic costs €29.90 a month or €299 a year, Pro €69.90 a month or €699 a year, plus VAT in each case. Paying yearly gives you two months free. The daily curve, the forecast and staff planning are part of Pro. For provider organisations with several centres in Stolberg or the wider Aachen region, the provider prepares an individual quote.

How long can we try it?

Basic for 14 days and Pro for one month, both without payment details and without a notice period. The first payment is only due after the trial. If you later move from Basic to Pro, all your data is kept. Monthly plans end at the end of a month; yearly plans run for twelve months and end with the contract year.

Do we have to set everything up ourselves?

That is the idea, and the app guides you step by step, with a guided set up tour and a searchable questions and answers section. According to the provider, a Kita is ready in under 15 minutes. If you would rather hand the work over, you can book set up by Wasa Consult for a one off €799 with no running costs.

What about data protection?

When you register you conclude a data processing agreement under Art. 28 GDPR digitally. Data is transferred with TLS, every Kita is kept separate in the database, and health data is stored separately with its own permission check. Hello Kita sets no cookies for advertising or tracking. After the contract ends, the data is deleted within 30 days.
